On submission of your registration, your delegate type will be confirmed by the Congress Secretariat.
AIPC Official Delegates are participants who represent an AIPC Member (one per Member) and hold the voting rights of their convention centre, when in good standing (upon settlement of their membership dues).
AIPC Co-delegates are other participants from member convention centres who do not hold of the voting rights of those centres.
Non-member Delegates are guests and observers attending the event upon the invitation and with approval of the AIPC Board of Directors. Observers are potential members, and are limited to one year’s attendance as an observer and one person per potential member centre.
Accompanying persons are those who are accompanying registered participants to the event, but do not participate in the official conference programme. Business Associates do not quality as accompanying persons. As the primary purpose of the Annual Conference social events are intended for networking amongst colleagues, the number of accompanying persons participating in social events is limited to one person per registered delegate.
Invited editorial media are selected working media representatives that are actively engaged with AIPC on an ongoing basis. The registration fee is waived for such individuals.
Editorial media are represented by the Editor in Chief of those working media who wish to attend the conference in order to create editorial content and who may request access via the AIPC secretariat. If accepted, they will be required to pay the non-member registration fee in order to attend.
Non-editorial staff of industry publications may attend if they are an AIPC Business Partner and under the terms of their publication’s Business Partner agreement. There is no provision for the attendance by non-editorial media representatives who are not AIPC business partners.
All media representatives acknowledge that they are accepted as attendees to the AIPC Annual Conference on the basis that they are attending for the purposes of editorial coverage only and are not to engage in promotional activities. AIPC reserves the right to rescind the registration of any media representatives that do not adhere to this policy, and in such a case any registration fees that have been paid will not be reimbursed.
AIPC Business Partners are companies that pay an annual fee to AIPC or that participate based on the provision of services to AIPC.
Upon settlement of their sponsorship dues,
AIPC Corporate Partners: may register two corporate representatives as “AIPC Business Partner Invited” and one additional representative as “AIPC Business Partner Reg. Fee”
AIPC Annual Conference Program Partners: may register one corporate representative as “AIPC Business Partner Invited” and one additional representative as “AIPC Business Partner Reg. Fee”
PAYMENT OF REGISTRATIONS FEES
All payments are made to AIPC via the online Registration module. Payments are to be made and received prior to May 15 as there are no payment facilities in Nantes. Registrations, even when validated, are not considered as confirmed until payment has been made.
PRE-CONFERENCE ACTIVITIES AND ACCOMPANYING PERSONS PROGRAMS
Are booked through the Host Organising Committee and will be subject to their Cancellation Policy. All payments are made to the Host Organising Committee.
Hotel reservations are the responsibility of the delegate. The discounted rates at the AIPC headquarters hotel(s) are available via the direct online hotel reservation link(s). Hotel reservations can only be made upon completion of Conference registration.
Notification of cancellation of registration must be sent in writing to the AIPC Conference Secretariat:
• For cancellations received up to and including May 31, 2018, a cancellation fee of €100 will be charged. Accompanying guests will be charged €50.
• For cancellations received on and after June 1, 2018, no refund will be given, full amount required.
• Name changes are not accepted, unless the participant is from the same company (prior to June 1, 2018)
• Refunds will be made after the conference.

TRAVEL AND HEALTH INSURANCE
It is strongly recommended that participants take out insurance to cover loss (including registration fees) incurred in case of cancellation, medical expenses and damage to or loss of personal effects. AIPC will not be responsible for any medical costs incurred by participants nor accept liability for personal injuries or for loss or damage to property belonging to conference delegates, either during or as a result of the Annual Conference.
In case of industrial disruption or cancellation for reason beyond the control of the conference organizers, the conference organizers accept no responsibility for financial losses incurred by delegates.
AIPC is not liable for acts or defaults in the event of injury, damage, loss, accident, delay or irregularity of any kind whatsoever during arrangements organized through contractors or the employees of such contractors in carrying out services. Hotel and transportation services are contracted by the delegates directly and subject to the terms and conditions under which they are offered to the public in general.
